Bulk Actions
Bulk actions let you select multiple items at once and apply the same change to all of them. You can update statuses, change priorities, assign members, set dates, add or remove tags, move items between containers, archive, and delete — all in a single operation.
Bulk actions are available in list and board views for tasks, task lists, projects, pages, and tickets, and in communication views for conversations and messages.
Before You Begin
You need at least Member role in the workspace to perform bulk actions. Some actions — like deleting or archiving — may require Editor role depending on the item type. If you lack permission on specific items, those items will fail while the rest succeed. See Handling Failures below.
Bulk actions work in both list and board (Kanban) views. The Gantt chart view does not support bulk selection.
Selecting Items
Starting a Selection
- Hover over any item in a list or board view. A checkbox appears on the left side of the item.
- Click the checkbox. The item is highlighted with a blue outline.
- A blue bulk actions toolbar appears at the top of the list.
Once the toolbar is visible, checkboxes stay visible on all items — you don’t need to hover anymore.
Selecting a Range
Hold Shift and click a second checkbox to select all items between your last selected item and the one you clicked. This is useful for selecting a contiguous group quickly.
Selecting All Visible Items
Click the Select All checkbox in the toolbar to select every visible item on the page. Click it again to deselect all.
Maximum Selection Limit
You can select up to 100 items at once. When you reach the limit, the Select All checkbox is disabled and displays the message “Selection limited to 100 items”.
Exiting Selection Mode
Press Escape or click the X button on the right side of the toolbar to clear your selection and exit selection mode.
The Bulk Actions Toolbar
When items are selected, the toolbar displays:
- Selection count — shows “X of Y selected” (for example, “5 of 50 selected”)
- Select All checkbox — select or deselect all visible items
- Action buttons — the available actions for the current item type
- Exit button (X) — clears selection and exits
Each action button shows an icon and label. Actions that need additional input (like choosing a status or searching for a tag) open a small popover panel below the button.
Available Actions by Area
Tasks

| Mark Complete | Immediately marks all selected tasks as complete. |
| Mark Incomplete | Immediately marks all selected tasks as incomplete. |
| Move to List | Opens a searchable list picker. Select a list to move all selected tasks into it. |
| Assignee | Opens a member picker with Add and Remove tabs. Search for users by name. |
| Tag | Opens a tag picker with Add and Remove tabs. Search for tags by name. |
| Archive | Asks for confirmation. Archived items are hidden from active views. |
| Delete | Asks you to type DELETE to confirm. Permanently removes the tasks. |
Task Lists

Conversations
When viewing a contact’s conversation list, you can select multiple conversations and perform these actions:

| Unassign | Opens a searchable member picker to remove assignments. |
| Add Tag | Opens a searchable tag picker to add tags. |
| Remove Tag | Opens a searchable tag picker to remove tags. |
| Delete | Asks for confirmation. Permanently removes the conversations. This cannot be undone. |
Messages
When viewing a conversation, you can select multiple messages and perform these actions:

| Delete | Permanently removes the messages. This cannot be undone. |
Destructive Actions
Archive and delete actions require confirmation before they run.
Archiving
When you click Archive, a confirmation dialog tells you how many items will be archived. Archived items are hidden from active views but are not permanently deleted. You can find them with filters or restore them individually.
Deleting
When you click Delete, a confirmation dialog appears with a warning describing what will be permanently lost:
- Tasks — “This will permanently remove them and cannot be undone.”
- Task Lists — “This will permanently delete ALL tasks inside them.”
- Projects — “This will permanently delete ALL task lists and tasks inside them.”
- Pages — “This will permanently delete ALL child pages inside them.”
You must type DELETE in the confirmation field before the button activates. Once confirmed, the action cannot be undone.
Handling Failures
When a bulk action runs, each item is processed individually. This means some items can succeed while others fail.
All Items Succeed
A green confirmation message appears: “N items updated successfully”.
Some Items Fail (Partial Success)
An amber message appears showing the count: “3 succeeded, 2 skipped”. It includes a View N skipped button. Click it to open the Bulk Operation Results modal, which lists each failed item with its name and the reason it was skipped (for example, “Not found or access denied”).
Common reasons for partial failures:
- You don’t have write permission on some items
- An item was modified or deleted by someone else after you selected it
- A field value is invalid for a specific item
All Items Fail (Rollback)
If the entire operation encounters a system error, a red message appears: “Operation failed”. No items are changed. Click View N failures to see details.
Bulk Operation Results Modal
This modal shows a summary line like “3 succeeded · 2 failed” and a list of each failed item with its name and error reason. You can click Copy details to copy the full list to your clipboard for sharing or support purposes.
Dashboard Bulk Task Manager
The workspace dashboard offers a separate bulk task tool for addressing specific problem groups. You can access it from dashboard metric cards:
- Address Overdue Tasks — opens the manager pre-filtered to overdue tasks
- Review Blocked Tasks — opens the manager pre-filtered to blocked tasks
The manager displays a task list on the left with filters by project, task list, and assignee. Select tasks using checkboxes, then use the action panel on the right:

| Reassign Tasks | All modes | Opens a user picker to assign all selected tasks to a different person. |
| Add Comment | All modes | Opens a text field to add the same comment to all selected tasks. |
A progress bar shows processing status during longer operations.
Tips
- Use Shift+Click to quickly select a group of consecutive items.
- Check permissions first — if you’re not sure whether you can modify certain items, try a small batch first to avoid partial failures.
- Archive before delete — archiving is reversible; deleting is permanent. When in doubt, archive first.
- Batch within the 100 limit — if you need to update more than 100 items, work in batches.
- Use the failure modal — if some items fail, copy the details to identify which ones need individual attention.
